Refund & Cancellation Policy

This policy summarises how subscription billing, refunds, and cancellations work for VaultIQ. It forms part of, and should be read with, our full Terms of Use & Privacy Policy (clause 8).

Subscription & Billing

VaultIQ is a monthly subscription service. Fees are shown on the Billing & Plan page and are billed monthly in advance through our payment processor, PayFast. By subscribing you authorise the recurring monthly collection of your subscription fee until you cancel.

All fees are in South African Rand and are inclusive of VAT where applicable.

15-Day Money-Back Guarantee

If you cancel within 15 (fifteen) calendar days of starting your subscription, you may request a full refund of that month’s subscription fee by emailing billing@vaultiq.digital.

This is more generous than the 7-day cooling-off right under section 44 of the Electronic Communications and Transactions Act, 25 of 2002. Outside the 15-day window, fees already paid are non-refundable for the period charged, except where a refund is required by law.

Cancelling Your Subscription

You may cancel at any time, either through your PayFast account at my.payfast.co.za or by emailing billing@vaultiq.digital.

Cancellation takes effect at the end of your current monthly billing cycle (up to one calendar month’s notice). You will not be charged for any cycle that begins after the effective date, and there is no cancellation penalty. Nothing here limits any rights you may have under the Consumer Protection Act, 68 of 2008.

Missed Payments

If a monthly payment fails, your account is marked past due and you get a 24-hour grace period. During that time you can still sign in and view your records, but the bulk data-export functions (CSV, Excel, PDF) are temporarily disabled until the payment is settled.

If payment is not received before the 24 hours are up, your account is suspended and access is locked. PayFast may keep re-attempting the standard monthly collection during this time.

Getting Your Data Back

While your account is in good standing you can export a complete, re-importable copy of your data at any time from Settings → Data Import & Export.

During a past-due grace period or a suspension, exports are paused. Your data is retained in full and nothing is deleted — access, including the export functions, is restored automatically as soon as your outstanding payment is received.

Reactivation

A deactivated account can be reactivated by settling any outstanding fees and re-subscribing, provided your data is still within the retention period.
